WooCommerce shipping cutoff dates: how to set and communicate them before Black Friday

Every December the same email arrives on the 21st: “I ordered on Saturday, will it be here for Christmas?” The honest answer is usually no. The customer did nothing wrong. Nobody told them the last safe day to order, so they guessed, and your support inbox now carries the cost of that guess.

A shipping cutoff date fixes this before it starts. It is one date per shipping method, worked back from the carrier’s own holiday deadline, and shown wherever a customer makes the decision to buy. Set it before Black Friday and it goes out with every sale email in your busiest week, not in a panic in mid-December.

This guide covers how to calculate your WooCommerce shipping cutoff dates from the 2026 carrier deadlines, where to publish them, and how to use Advanced Shipment Tracking Pro (AST PRO) to make sure every order placed before the cutoff actually leaves on time. One thing first: AST PRO does not set or display cutoff dates. That part is your calendar and your storefront. AST PRO handles the half that decides whether you keep the promise.

Why cutoff dates belong in place before Black Friday

Black Friday 2026 falls on 27 November, with Cyber Monday on 30 November. Those orders are not the ones at risk of missing Christmas. The risk is what the Black Friday backlog does to the next three weeks.

If you normally dispatch within one business day, a weekend of sale orders can stretch that to three or four. Most stores never adjust their published handling time, so the gap grows quietly until mid-December, when it turns into late parcels and refund requests.

Publishing your cutoffs before 27 November means the dates go out in your sale emails, sit on your site during peak traffic, and are already familiar by the time they matter.

How to calculate your WooCommerce shipping cutoff dates

Your cutoff is not the carrier’s deadline. The carrier’s date is the last day a parcel must be handed over, so your customer’s cutoff sits earlier by your peak pick-and-pack time, plus a buffer.

The formula is: carrier’s last day to ship − your peak handling time − one buffer day, counting business days only.

Here is how that works out for 2026 with two business days of handling and one buffer day. The carrier dates are from the USPS and FedEx holiday charts, checked in October 2026.

ServiceCarrier’s last day to shipYour order cutoff
FedEx Ground EconomyTue 15 DecemberThu 10 December
USPS Ground AdvantageThu 17 DecemberMon 14 December
USPS Priority MailFri 18 DecemberTue 15 December
FedEx Express SaverMon 21 DecemberWed 16 December
FedEx 2DayTue 22 DecemberThu 17 December
FedEx Standard OvernightWed 23 DecemberFri 18 December

USPS dates target delivery before 25 December within the contiguous US. FedEx dates target arrival by 24 December.

A few things to adjust before you copy these:

  • Use your peak handling time. Check how long orders sat in Processing during last year’s Black Friday week, and subtract that, not your everyday average.
  • UPS had not published its 2026 last days to ship when we checked in October. If you ship UPS, check its holiday schedule again in November before finalising.
  • International, Alaska, Hawaii and military addresses have earlier dates. Publish them separately or exclude them from the Christmas promise.
  • Carrier dates are recommendations, not guarantees. That is what the buffer day is for.

How to communicate shipping cutoffs in WooCommerce

Put the date where the buying decision happens, not on one page nobody visits.

  1. Rename your shipping methods. Go to WooCommerce → Settings → Shipping, open each zone and edit the method title, for example “Standard (order by 14 December for Christmas)”. Every customer sees it at checkout, and it needs no extra plugin.
  2. Add a site-wide notice. On classic themes, use WooCommerce’s Store Notice in the Customizer. On block themes, add a one-line banner to the header template.
  3. Publish a shipping deadlines page with the full table, linked from the banner and your FAQ.
  4. Put the dates in your Black Friday and Cyber Monday emails. One line near the top is enough.
  5. Send a reminder two days before each cutoff, pointing late shoppers to the faster methods still open.
  6. Brief your support team with the table and a ready answer for orders placed after the cutoff.

How to ship every order placed before the cutoff

Publishing a date is a promise. Keeping it means every order placed before the cutoff leaves by the carrier’s deadline, and the customer can see that it has. This is where a WooCommerce shipment tracking plugin earns its place in December.

1. Check the unshipped orders against each cutoff

Go to WooCommerce → Shipment Tracking → Fulfillment Dashboard. By default it lists orders in Processing and Partially Shipped, which is your unshipped queue. Use the date range filter to show orders placed on or before a cutoff date. Anything still listed the day before the carrier’s deadline is an order at risk. There is more on working through the queue in our guide to the Fulfillment Dashboard.

2. Add tracking in batches, not one order at a time

On a heavy day, entering tracking order by order eats dispatch time. Go to WooCommerce → Shipment Tracking → Bulk Paste and paste rows straight from your label software or a spreadsheet. Set the status_shipped column to 1 to mark each order Shipped as its tracking is added. For larger batches, the CSV Import works the same way from a file.

3. Use Partially Shipped when one item holds up an order

If an order contains a backordered item, ship what you have before the cutoff rather than holding the whole parcel. Enable Partially Shipped under WooCommerce → Shipment Tracking → Settings → Order Statuses & Notifications, so the customer is told which items are on the way.

4. Put the shipping date in the Shipped email

In the same panel, click the gear icon next to Shipped to open the Email Customizer. Under Email Content, you can use the {shipping_date} and {shipping_method} placeholders, for example “Your order left us on {shipping_date} by {shipping_method}.” A customer who sees the dispatch date can answer “will it arrive in time?” without emailing you. Our post on customising the shipment email covers the rest of the customizer.

How to confirm orders went out on time

  • The Fulfillment Dashboard is empty for the date range. Shipped and Completed orders drop out of the default view.
  • The order notes show the status change. Open an order and check for the move from Processing to Shipped, with the date.
  • The customer’s My Account page shows the tracking widget. Spot-check two or three orders.
  • Bulk Paste shows no skipped rows. The results summary lists any row that failed, usually a carrier name that does not match exactly. A skipped row means no tracking and no Shipped email.

What AST PRO does not do

  • It does not calculate or display cutoff dates, countdown timers or estimated delivery dates at checkout.
  • It does not stop customers ordering a method after its cutoff has passed. Renaming or disabling the method is a manual step in WooCommerce shipping settings.
  • It cannot make a carrier meet its own deadline. It records and communicates what you shipped and when.
  • The Delivered status is set only by TrackShip when the carrier confirms delivery. Without TrackShip, AST PRO knows a parcel shipped, not that it arrived.

Frequently asked questions

When should I publish my holiday shipping cutoff dates?

Before Black Friday, which is 27 November in 2026. That way the dates appear in your sale emails and on your site during the highest-traffic week of the year. USPS and FedEx had both published their 2026 deadlines by October, so you can calculate them now.

Should my cutoff be the same as the carrier’s deadline?

No. The carrier’s date is the last day a parcel can be handed over. Your cutoff has to be earlier by your peak handling time plus a buffer day. Use the carrier’s date directly and every order from the final two days misses it.

Can WooCommerce hide a shipping method after its cutoff?

Not on a schedule by itself. You can disable or rename a method by hand in WooCommerce → Settings → Shipping on the cutoff day. Some shipping plugins add date-based rules; AST PRO does not, as it works on orders after they are placed.

What should I tell customers who order after the cutoff?

Tell them plainly before they pay, through the shipping method title or banner, and offer the faster method that still makes it. After the final express cutoff, a gift card is the usual fallback. Avoid “we’ll try”: a missed promise costs more than an honest no.

Does the Shipped email go out automatically when I add tracking?

It goes out when the order status changes to Shipped. With Bulk Paste or CSV Import, setting status_shipped to 1 changes the status and triggers the email in the same step. If you add tracking manually, tick “Mark as Shipped” or the order stays in Processing and no email is sent.

Set the dates now, then make sure you keep them

Work back from the carrier dates, subtract your real peak handling time, and publish the result in your shipping method titles, a site banner and your Black Friday emails before 27 November. Then check the unshipped queue against each date as it approaches.

If returns are next on your list, our guide to preparing for Black Friday returns volume covers the other end of the season. To compare tracking options more broadly, see WooCommerce shipment tracking plugins compared.

Ship every pre-cutoff order on time and show customers exactly when it left.
