How to prepare your WooCommerce store for Black Friday returns volume

Black Friday orders don’t come back in November. They come back in the second half of December and through January, after the gifts have been opened, at the point when your team has run down after the busiest month of the year. A store that ships 400 orders over the Black Friday weekend gets the returns from all of them in the same few weeks.

Most of that pain is decided now. The return window, which items are returnable, whether customers see an exchange before a refund, and which requests need human approval are all settings. Set them before the first Black Friday order and January is a queue. Leave the defaults and it becomes a policy argument with every customer.

This guide walks through the six decisions to make before the peak, using Zorem Returns, a WooCommerce returns plugin that handles return and exchange requests from the customer’s My Account page. Black Friday 2026 falls on 27 November, so the settings below should be in place by mid-November.

Why peak season breaks a normal returns setup

Three things change at peak, and each one hits a different setting.

The clock starts early. In Zorem Returns the return window opens on the day an order moves to Processing, which for a paid order is usually the day it was placed. A gift bought on 27 November with a 30-day window can be returned until 27 December. If it was opened on Christmas Day, the recipient has two days.

Everything is on sale. A rule excluding sale items from returns suddenly covers most of the catalogue, and it behaves in a way most store owners don’t expect (step 2).

Volume outruns review. Approving each request by hand works at five a day. At fifty a day, the queue becomes the bottleneck, and customers who hear nothing for three days start opening tickets.

How to prepare WooCommerce returns for Black Friday

All the settings below are under WooCommerce > Returns Center > Settings. The full list of options is in the setup and configuration docs.

1. Set the return window before the first Black Friday order

Open the General Settings tab and set Return/Exchange Window (Days). The maximum is 90. Work backwards from the date you want Black Friday orders to stay returnable:

WindowOrder placed 27 Nov returnable untilOrder placed 15 Dec returnable until
30 days27 December14 January
45 days11 January29 January
60 days26 January13 February
90 days25 February15 March

The plugin checks the window when the customer asks, using the setting as it is at that moment. Raising it to 60 days extends every existing order, October’s included. Lowering it back in January shortens every order still inside the window, including ones you promised 60 days. Change it once before the peak, and change it back only after your latest promised date has passed. The return eligibility rules guide covers the window start date in more detail.

2. Decide whether discounted items can be returned

On the Return Settings tab, Allow Returns for Sale Products controls whether sale-priced items are eligible. The plugin decides this by checking whether the product is on sale when the customer requests the return, not whether it was on sale when they bought it.

With the setting off, a customer who paid full price in October can’t return the item while your sale runs on it, and a Black Friday buyer can return a discounted item once the sale ends. The cleaner option for the season is to turn the setting on and control exclusions with Exclude Categories from Returns/Exchanges or Products Not Eligible for Returns/Exchanges on the General Settings tab instead. Those exclusions don’t change when prices do.

Whatever you choose, say it on your policy page. The returns policy setup guide shows how to link that page to the return form through Select Terms and Conditions Page.

3. Offer exchanges and store credit before refunds

Holiday returns are often the wrong size, the wrong colour, or a gift the recipient would have chosen differently. Those customers often want something else from your store, not their money back. If the only option on the form is a refund, a refund is what they take.

  1. On Exchange Settings, turn on Enable Exchange Requests and, if your catalogue suits it, Allow Cross-Product Exchange so customers can swap for any product, not only another size or colour of the same one.
  2. Set When new item costs more to Create pending payment order for the difference, and When new item costs less to Issue store credit coupon for the balance.
  3. On Return Settings, use Refund Method Preferences to offer Refund to Store Credit alongside Refund to Original Payment Method.
  4. Check Store credit coupon expiry (days). A credit that expires in 30 days, issued in January, expires before most customers come back to shop.

The product exchanges guide walks through how exchange orders and price differences are created.

4. Choose which requests skip manual review

Automatically Approve Return Requests and Automatically Approve Exchange Requests each skip the review step entirely. That clears the queue, but auto-approve isn’t free:

  • For returns, stock goes back only when the return is marked completed (with Restock Completed Returns and Exchanges on), so auto-approving doesn’t inflate your inventory before the parcel arrives.
  • For exchanges, restocking happens on approval. With auto-approve on, the original item is added back to stock the moment the customer submits, before it has left their house. On a product close to selling out, that can lead to overselling.

A common middle ground for peak: auto-approve returns, review exchanges by hand, and pair auto-approve with the fraud limits in step 5.

5. Set a per-customer return limit

Auto-approval removes the person who would have spotted a serial returner. On the Fraud Prevention tab, turn on Enable Fraud Prevention, then Enable Per-Customer Return Limit. Set Maximum Returns per Customer and a Time Window (Days), for example five returns in 90 days. Turn on Email Admin When Limit Is Hit so you hear about the edge cases. The alert is sent at most once per customer per day.

Customers you already know about go in Customer Blocklist, one email address or user ID per line.

6. Rewrite your return reasons and guidelines for gifts

Add reasons that match peak-season returns, such as “Unwanted gift” and “Arrived after the date I needed it”, to Return Reasons and Exchange Reasons. In January, the reason data tells you which products were bought as gifts and which had sizing or delivery-timing problems.

Then update Return Guidelines, which goes out in the return-approved email: how to pack the item, where to send it, and how long refunds take over the holidays.

How to confirm your returns setup is ready

Test it in early November, not on 1 December:

  1. Place a test order with a product that is currently on sale and one that isn’t. Move it to an eligible status (Completed by default, set in Eligible Order Statuses for Returns/Exchanges).
  2. Log in as that customer and open the order in My Account. Check the Return and Exchange buttons appear for the items you expect, and not for excluded ones.
  3. Submit one return and one exchange. Confirm each lands in WooCommerce > Returns Center with the status you expect, and that the customer email carries your new guidelines.
  4. On the Fraud Prevention tab, use Check Customer Return Count with the test customer’s email to confirm the limit is counting.

What this setup does not do

  • There is no date-based holiday window. You can’t give orders placed between two dates a longer window from the settings. The window is store-wide, with an optional per-customer override (Enable Per-User Return Window Extension) set on individual user profiles.
  • The window is capped at 90 days. A 90-day window covers a late-November order until late February, but not beyond.
  • Sale status is checked at request time. As covered in step 2, the sale-item setting follows the product’s current price, not the price the customer paid.
  • It doesn’t reduce the volume itself. Settings decide how returns are handled, not how many arrive. Fewer “where is my order” messages and fewer late-delivery returns come from the shipping side. The guide to reducing “where is my order” tickets covers that half.

Frequently asked questions

How long should a holiday return window be?

Long enough that a gift bought on Black Friday can still be returned after it’s opened on Christmas Day. That means at least 45 days, which keeps a 27 November order returnable until 11 January. Sixty days also covers late-December buyers. The window applies to every order, not only holiday ones.

Can I extend the return window for one customer?

Yes. Turn on Enable Per-User Return Window Extension in General Settings, then open the customer’s WordPress user profile and set Custom Return Window (Days). That number replaces the store-wide window for that customer’s orders. It is useful for a late gift or a delivery problem, but it doesn’t scale to hundreds of orders, and it applies only to customers with an account, not guest orders.

Should I charge a restocking fee during peak season?

That is a policy decision, not a technical one. Zorem Returns supports a percentage or fixed per-item fee, shown to the customer before they submit. The fee is deducted from the refund amount. It discourages speculative returns, but it also discourages Black Friday buyers who read the policy before they order. If you add one for the season, put it on your policy page before the sale starts, not after.

Is it safe to auto-approve returns at peak?

For returns, mostly yes, provided a per-customer return limit is on and restocking happens on completion. The bigger risk is auto-approving exchanges, because the original item goes back into stock on approval rather than on arrival. On fast-selling stock, review exchanges by hand or switch off automatic restocking until the season ends.

Can customers without an account return Black Friday orders?

Yes. Zorem Returns supports guest returns: the customer finds their order with the order ID and email address on your return portal page, without logging in. If you allow guest checkout, many Black Friday buyers will be first-time customers without an account, so test the guest flow alongside the logged-in flow in your November dry run.

Conclusion

Black Friday returns are a January problem with a November fix. Set a window long enough for gifts, decide how sale items are treated, put exchanges ahead of refunds, and auto-approve only where fraud limits back it up. Then run one test order through the whole flow. If you’re still choosing a tool, the WooCommerce returns plugin comparison covers the options and their pricing.
